External User Access (e.g CROs or Sponsors)

If your organization uses CROs or works with Sponsors there are two options in Candid to get them access to the system.

Option 1
External Users can be provided a standard Candid Statistician, Programmer, User license and access Candid like a full time employee would.

Option 2
Use the External Organziation & User feature.

For option 1 above follow the instructions for managing Candid user accounts.

The rest of this guide below is for setting up External Organizations and Users leveraging Option 2.

How External Users are different from standard Candid accounts
External Users have very limited access to data in Candid
They only have access to Issues on analyses their CRO is associated with and or access to TFL Reviews.

They are assigned to analyses by assigning the External Organization to the analysis.

They only have access to the My Issues dashboard
or TFL Reviews they are assigned to.
External User accounts are free

How to Add an External Organization and External User

In the main menu click the organization name under your name.

  1. Click the button.
  2. Click the External Organizations link.
  3. Click the button.
  4. Complete the form and click .
Field Additional Information
Name The full name of the external organization.
Display Name The 'friendly name' of the external organization. This value is displayed in the upper left corner of every page.
Description Short description of the organization and its functions.
Organizations The Candid defined Organizations the External Organization is allowed to be added to analysis teams.
Issue / Review Tool Access Determines if external users associated with this organization can access Issues and/or be assigned to TFL Review Periods.

Edit External Organization

  1. Click the button.
  2. Click the External Organizations link.
  3. Click the button to open the edit form.
  4. Edit fields or update organization associations and click .

Delete External Organization

Deleting is only allowed on External Organization records with 0 users associated with them.

  1. Click the button.
  2. Click the External Organizations link.
  3. Click the button.
  4. Click the button for the External Organization you want to delete.
  5. The Delete External Organization page will open. Click the button to confirm.

How to add External Users

In the upper, left-hand corner, under your name and system role, click the organization name.

  1. Click the button.
  2. At the bottom of the list, click the Users link.
  3. Click the button.
  4. Enter the Username, First Name, Last Name, and Email address.
  5. For Role, select External User
  6. Select the External Organization this user is associated with. If you do not see the External Organization in the list, first add the External Organization following the steps above in this guide.
Field Additional Information
Role Select the new user's system role (Administrator, Statistician, Programming Manager, Programmer, User, Anonymous).
Login Enter the user's username they will use to log into Candid (include the doman, e.g., myorganization.com/username).
First Name
Last Name
Email Address
Password
Organization(s) Add 1 or more organization this user is allowed to have access to.
Important!
Make sure to select the External User role to ensure the account is not treated like a standard Candid license account.

How to add an External Organization to an Analysis

  1. Navigate to an analysis details page.
  2. Clilck the External tab.
  3. Click inside the input box and start typing the name of the External.
  4. Click the External Organization you want to add from the result of your search.
  5. Click the button.
  6. Note: Remove External Organizations from the Analysis Team by clicking the button.
